Are you ready for your trip?
You'll soon be heading off on your much anticipated trip of a lifetime and we are looking forward to greeting you on arrival. We just need a few things from you to help make your trip run smoothly.
Please take a few minutes to fill in the short questionaire below. Once you've submitted the form and your information is on its way, could please finalise your information by emailing a photocopy of your passport to us at info@velotours.com.au. This is a fail safe for you in case you lose your passport while on tour and also a requirement for our some of our hotels.
covid MEASURES & how you can minimise risk
- As noted in your booking confirmation document, comprehensive travel insurance with COVID cover is a requirement when coming away on tour.
- There has been a recent resurgence in cases of late so it's important to know the reasons why it's required and what to expect if anyone should test positive while on the trip.
- In conjunction with most other global tour operators, we continue to abide by the guidelines of the local health authorities in all the countries we visit and global health regulations (link to SmartTraveller below). Despite learning to live with COVID, the virus is still extremely virulent and continues to cause unpredictable health issues in many people ranging from simple common cold symptoms to severe breathing complications and long term health ramifications. Though we no longer need to quarantine, global health regulations still require us to stay home to protect our community and to rest to avoid any prolonged side effects that may come from continuing to exercise with an elevated heart rate. You may not suffer any major health issues but this may not be the case for other group members...
- If we all take a small level of care in the lead up to the trip and while we are together each day we can all do our bit to ensure the trip goes ahead without any issues. How do we do this? Below are our COVID policies and procedures to help gain an understanding of what you can do, the level of support you will receive if you test positive as well as how we will protect the other members of the group if a case should arise:
- We ask that everyone, including staff, be up to date on their vaccinations where possible.
- Please bring 2 RATS with you in your luggage.
- We suggest everyone take a RAT 48 hours prior to the start of the tour (no one wants to fly all that way only to find they are positive the day the tour begins) and then test on the morning the tour begins, before meeting the group, to ensure we are starting the tour off with a clean bill of health.
- During your flight and any public transfers, wear a mask of medical grade (N95 or KN95 is even better) and carry a small bottle of sanitiser in your pocket to use after going to the bathroom or touching your fold down table and other surfaces about the plane, bus or cab.
- Practice safe social distancing while in crowded areas like baggage collection, passport gates, hotel receptions etc.
- Avoid shaking hands with or hugging or kissing anyone you meet, including other people on the tour.
- We book tables outdoors for dinner where possible.
- We clean the vans with sanitised wipes and cleaner daily.
- We provide sanitiser in the vans and ask that everyone use it before getting in.
- In the event that someone tests positive during the trip, our staff will comply with the local health authority guidelines which begins with self isolation to protect the other group members, our staff and us.
- We will assist with trying to extend their stay and support them in leaving the tour.
- If sharing a room with another guest, the other guest will need to wear a mask and practice strict social distancing from the other group members for at least 5 days. Riding with the group will still be supported during this period while practicing social distancing on and off the bike, preventing contact with van supplies and implementing safe measures for receiving on course support.
- All other group members will be asked to take a test at this time.
- We will assist with finding and booking a PCR test at a local clinic via local transport regulations to activate their travel insurance so they can begin making alternative arrangements for the remainder of their trip. We will assist, to the best of our ability while still ensuring the tour proceeds uninterrupted for the other guests. This is another reason why booking with a travel agent is a good option as they are on call to help in booking your alternative travel and accommodation needs.
- Arrangements may include extending the reservation of the room they are currently occupying until a negative test is returned. NOTE: If an extension is not possible, alternative venues should offer room service or be close to restaurants that offer take out or delivery services. If the room they currently occupy cannot be extended, we will assist, to the best of our ability, in finding alternative suitable accommodation.
- We will remain in constant contact by phone and/or WhatsApp to offer any assistance needed after the rest of the group depart and to see how they are feeling in general.
- Upon returning home, we will provide a letter and receipt of payment for their insurer with all the details required to assist them with processing their claim.
- It is your responsibility to contact your travel insurance provider for instructions on activating your travel insurance policy to mitigate any additional costs you may accrue. Though Velo Tours will assist you in this process to the best of our ability Velo Tours is not responsible for any additional costs related to COVID including RATs or PCR tests, medications, dietary or vitamin supplements, alternative accommodation or travel costs.
- As COVID continues to change our procedures will also move with the times so will be updated as new regulations come to light that improve on our own management policies as may be required.
